Oktul SignPlus for Confluence

Oktul SignPlus sends a Confluence page for signing through Dokobit. Each signer uses their own eID, and the signed document is attached back to the page.

Free for up to 10 users. Larger sites try it free for 30 days.

What the video shows
  1. The title, Sign a Confluence page, beside the page.
  2. Send it for signing from the byline: Sign this page opens the SignPlus panel.
  3. Add people or a whole group: Mari Tamm, then the Finance group. Start signing, and the signing starts.
  4. Each signer uses their own eID: Smart-ID on the phone shows the verification code, and PIN2 confirms it.
  5. The signed document comes back to the page: the signature is written in, the document is attached, and the byline reads Page signed and valid.
  6. Someone edits it after signing: Payment changes from 30 to 14 days, and the byline reads Page signed but modified.
  7. Oktul, Atlassian Marketplace Partner.

The signed PDF and its page drift apart

The signed file ends up in an inbox, not on the page

Signing a Confluence page usually means exporting it by hand, sending the file and filing the result. The page keeps no record that it was signed.

The page can change after it is signed

Confluence is built for editing. The text a signer agreed to can be rewritten the same afternoon, and the signed file does not say which version it was.

The signing starts on the page, and the signed file comes back to it

SignPlus attaches the signed document to the page it came from. What was signed is recorded as a hash of the space, the page and its version number. A later edit does not inherit the signature.

What it does inside Confluence

A signing starts from the page, a Jira automation rule or the REST API. All three apply the same site and space settings.

Sign from the page

Sign this page, in the byline, opens the signing panel. Choose the signers, set a deadline and start the signing. The same byline later says whether the page has changed since it was signed.

Start a signing

Group signing

Add a Confluence group as signers and every member is invited, up to 25,000 people on one signing. SignPlus sends it in the background, and closing the page does not stop it.

Choose who signs

Company-styled document

Panels, status lozenges, Jira work items tables, Oktul Work Item Selector fields and Jira Assets tables print the way the page draws them, with your font, logo, first page, header and footer.

Automation and REST API

Two Jira automation actions, a REST API authenticated with an Atlassian service account, and webhooks that tell another system when a signing completes or a signed page is edited.

Automate a signing

Official documents as AI context

Agreements, policies and approvals are the documents an agent should quote, and the ones a separate document system lets go out of date. SignPlus keeps them as Confluence pages, which Rovo reads, with each signature tied to the page version, the signed document attached to the page, and the page read-only after signing if you choose. The REST API and webhooks keep other systems in step, and nobody files the same document twice.

The tests every release has to pass

A release ships only when it passes these tests. Before each release and once a month we also scan its code for vulnerable dependencies, leaked secrets and unsafe patterns, and attack its web triggers where it has any.

Installation runs through the Atlassian Marketplace

There is absolutely no infrastructure on Oktul's side. The entire application runs within your Atlassian ecosystem.

  1. Choose the signing modeA new installation signs in Dokobit's test environment, where documents come back watermarked. Switch to your own Dokobit token before the first real signing.
  2. Decide what each space may changeEach setting has its own switch, apart from the signing mode and who may delete a finished signing, which stay site-wide. Leave the switches off if signing must be identical everywhere.
  3. Open a page and select Sign this page under the titleAdd people or a group, choose the options, start the signing.
  4. Collect the signed PDF from the pageIt arrives as an attachment when the last signer has finished. Nothing has to be downloaded from Dokobit by hand.

Questions administrators ask

Can you sign a Confluence page?

Not with Confluence alone: Confluence Cloud has no built-in way to sign a page. SignPlus adds one. Sign this page, under the page title, sends the page to Dokobit as a PDF or a signature container, each person signs with their own eID, and the signed document is attached back to the page. If the page is edited afterwards, the byline says Page signed but modified.

How do I sign a Confluence page officially, so the signature is legally binding?

Start the signing from the page with SignPlus, and have each signer sign on Dokobit with a qualified eID. Signed with a qualified eID, such as Smart-ID or an Estonian, Latvian, Lithuanian, Finnish or Belgian ID card, it is a qualified electronic signature, which Article 25(2) of eIDAS gives the legal effect of a handwritten signature in every EU member state. Dokobit's list of eIDs on dokobit.com says which methods produce one. E-signature levels is QES only by default, which refuses the rest. A signing in test mode has no legal effect.

Can a signed or exported Confluence page follow our corporate visual identity?

Yes, the document SignPlus makes from the page does. Export styling sets your font, with a bold face of its own, your logo, a first page with a background picture, a header and a footer each in its own colour, and your own CSS for the page body, for the whole site or per space where the site allows it. The Confluence page itself keeps Confluence's own design.

How can I be sure which version of a Confluence page was approved?

Approve it by signing it with Oktul SignPlus for Confluence. The signing is tied to a SHA-256 hash of the space, the page and its version number, the signed document is attached to the page, and the byline says Page signed but modified if anyone edits it afterwards. The byline says that the page changed, not what changed; the page history shows that.

How does SignPlus help Rovo and other AI agents?

It keeps official documents in Confluence, where Rovo reads them, instead of in a separate document system where copies go out of date. Each signature is tied to the page version, the signed document is attached to the page, and the page can stay read-only after signing. Webhooks tell another system when a signing completes or a signed page is edited, and the REST API starts a signing from one. SignPlus itself runs no AI model and sends nothing to one.

Who holds the relationship with the signing provider?

You do. Real signing runs on your own Dokobit account, with the token you enter in SignPlus. Test mode runs on Oktul's Dokobit sandbox, where you can try SignPlus first. What it signs is watermarked and binds nobody.

Is Dokobit a qualified trust service provider?

Yes, for validating electronic signatures and seals. Dokobit states that it is supervised by Lithuania's Communications Regulatory Authority and listed on the EU Trusted List. Its compliance page at dokobit.com/compliance carries the certificates.

Where does Dokobit keep the document?

In the EU/EEA, mirrored in two locations, encrypted with TLS and AES-256, under ISO/IEC 27001 and 27018 certification audited by DNV, by Dokobit's own statement. It keeps a document for the signing period and no longer than 30 days. The provider is Dokobit, UAB, registry code 301549834.

Does a signer's PIN or personal code reach SignPlus?

The PIN does not. The signer signs on Dokobit's page with their own eID. The signed document carries each signer's signing certificate, and an Estonian eID's certificate includes the personal identification code, so anyone who can open the attachment can read it.

What happens if a signer never signs?

It stays pending until every signer has signed, someone declines or it is cancelled. With a strict deadline, Dokobit lets nobody sign once the deadline has passed. The signed document is attached to the page only once every signer has signed.

Who can delete a finished signing?

A Confluence administrator, by default. The site can add space administrators, page editors or the person who started it. Deleting removes SignPlus's record and the document at Dokobit, for every signer, and lifts the edit lock. The signed file stays attached to the page.

Can a space administrator point signing somewhere else?

No. The signing mode is set for the whole site, and a space changes only the settings the site administrator has opened to spaces.

Does a lapsed licence stop a signing in progress?

No. New signings stop, but a signing already out for signature still completes, and its signed document is attached to the page.

Is this application in the Runs on Atlassian programme?

No, and it cannot be. That programme is for applications that keep all data inside Atlassian, and this one sends page content to a signing provider by design.
