What a signer sees

What a person asked to sign a Confluence page with SignPlus sees: the invitation, the Dokobit signing page, and how to check the signed file afterwards.

A signer needs no SignPlus and no Confluence account: just an email and Dokobit’s signing page.

Is this a real signature?

Yes, when it is made with a qualified eID. A signature made with an eID that carries a qualified certificate is a qualified electronic signature, which Article 25(2) of eIDAS (opens in a new tab) gives the legal effect of a handwritten signature across the EU. Dokobit’s list of eIDs (opens in a new tab) says which methods produce one.

  • You sign on Dokobit’s page, with your own Smart-ID, ID card or another eID. Your PIN never reaches SignPlus or Oktul.
  • The signed file carries your signing certificate. An Estonian eID’s certificate includes your personal identification code, so anyone who can open the signed file can read it. A signed PDF also prints it when the site sets Personal code in the annotation (PDF only) to Visible.
  • Dokobit is a qualified trust service provider for validating electronic signatures and seals, on the EU Trusted List (opens in a new tab), and states that it keeps documents and signer details in the EU/EEA. Its compliance page (opens in a new tab) has the certificates, and its privacy policy (opens in a new tab) covers your name and email address.

The invitation

An email from Dokobit: Your Company has invited you to sign the document “Service agreement”. It names the Dokobit account holder: your organisation, or Oktul in Test mode.

It holds the document name, any message, and Review and sign. Viewers get no invitation, only the notice when everyone has signed.

Signing

  1. Select Review and sign

The document is on the left, the steps on the right.

  2. Read the document

It is the page as it was when the signing was sent.

  3. Choose a country and a signing method

In Estonia, for example: Smart-ID, Mobile-ID or an ID card.

  4. Select Continue, and identify yourself

For Smart-ID, enter your personal code and select Sign document. Dokobit shows a verification code.

  5. Confirm on your device

Check the code matches, then enter your PIN.

The page says You have successfully signed the document and offers a download.

Decline declines the signing for everyone, and SignPlus lifts its page restrictions.

When the order matters

With Signers must sign in the order listed, each signer waits for the one before.

When everyone has signed

  • The signed file is attached to the Confluence page. SignPlus confirms with Dokobit that the signing is complete before it downloads the file.
  • Viewers get Dokobit’s notice that the document is signed, the person who started the signing included when they were added as a viewer.
  • A lost notice arrives later. Once an hour SignPlus asks Dokobit about pending signings it has not heard about for an hour, up to 1,000 a run, the longest unchecked first.

Checking a signed file

Anyone with the file can check it, without SignPlus or Confluence.

Format Open it with
ASiC-E (.asice) DigiDoc4, the Estonian state’s free client, or any eIDAS validation tool
PDF A PDF reader that shows signatures, such as Adobe Acrobat Reader

Dokobit’s validation (opens in a new tab) reads both and says whether each signature is qualified or advanced.

A document signed in test mode is not signed

Test documents are watermarked, use test identities and have no legal effect.

Common questions

Does a signer need a Confluence account?
No. A signer works in Dokobit's email and on Dokobit's signing page only.
Who sends the signing invitation?
Dokobit, by email, with a Review and sign button. The subject names the organisation that holds the Dokobit account and the document.
What happens if a signer declines?
The signing is declined for everyone. The panel on the page says so, and SignPlus lifts the page restrictions it set.
How can I check a signed file without SignPlus?
Open an ASiC-E file in DigiDoc4 or another eIDAS validation tool, or a signed PDF in a reader that shows signatures, such as Adobe Acrobat Reader.
